Role Purpose
Create and manage a Resource Planning function within the Core Business Operations.  Continuing to develop the function ensuring agreed service levels are achieved whilst Responsible for designing, delivering and implementing learning and development solutions to ensure all employees have the required skills and knowledge to carry out their roles effectively. driving efficiencies and cost savings. Initially, the role will be responsible for creating and imbedding a resource planning function across our Core business. The ongoing purpose of the role is to calculate all FTE requirements across the service ensuring each Account area is appropriately staffed to achieve agreed service levels and provide high levels of client and employee satisfaction. The role will provide insightful analysis to drive efficiency and costs savings and inform Account journeys, as well as independently impact assess all transformation/change activity. 

Key Responsibilities

  • Establish and maintain disciplined Forecasting/Resource Planning reporting models and controls
  • Identify opportunities and managing improvements in resource planning
  • Continuously advise and manage resource planning process improvements in order to drive efficiency and cost savings
  • Play a key role in ensuring that the right resource is available to deliver against SLAs, pro-actively monitoring on an on-going basis
  • Establish good working relationships with Ops and Data Reporting teams to ensure that reporting to all levels is accurate. Making good use of data tools (e.g. Power BI) to automate clear reporting and analysis models.
  • Ensure workplace planning is linked to the annual budget and financial forecast cycle
  • Interact cross functionally with Operations, Account Management, Sales, and Finance to coordinate and oversee the growth of forecasts
  • Constantly monitoring and proposing effective shift patterns to match business requirements considering all skill sets and restrictions, optimising performance of all production teams and maximising employee satisfaction by providing flexible options
  • Providing a holistic view of the full production history and using this insight for future forecasting
  • Providing insight to support client and partner strategy
  • Track, review and analyse recruitment and attrition data and provide resourcing advice to the Operations management team, including making recommendations on the most appropriate overtime levels within Core Business
  • Support day-to-day decision making that has significant financial and reputational impacts
  • Support the operation and senior management with ad-hoc requests that support business growth
  • Comply with company Health & Safety regulations in maintaining safe working practices and conditions
  • Keep abreast of company policies and ensure team members are informed of any changes to procedures, systems or products on time and that performance complies with any regulations in force
  • Attend all training required in support of your role
  • Contribute to the success of the business by carrying out any additional activities/duties identified as necessary for the role
  • Attend the Exeter office when required in support of your role

Measures of Success

  • Risk and issues are identified and escalated to the Head of Core Operations
  • Production SLAs met across all Core Business accounts
  • Regular involvement with stakeholders (Exec Team, Head of Core Operations, Team leads & Account Managers) to ensure best practice and consistency of approach across the organisation
  • Positive feedback received from key stakeholders including Account Managers and team members
  • Personal development plan developed and managed
  • Successfully forecasting the demand for each resource based on current and future work
  • The right activities are assigned to the right resource at the right time

Key Deliverables

  • 90 day forecast reports delivered monthly, with key callouts highlighted
  • Capacity plans delivered monthly: Mapping the availability of each resource, with a 90 day future view
  • Utilisation Rate and Occupancy Reported, with key callouts highlighted
  • Monitoring drivers against business change and developing models to improve accuracy in forecasting
  • Daily work plans are in place which effectively utilise planned resource
  • Resource planning processes in place and continuously managed which drive efficiency and cost savings

Knowledge/Qualifications

  • Considerable knowledge of and ability to utilise efficiently current word processing, spreadsheet, database, e-mail and internet software
  • Demonstrable expert Excel skills
  • Advanced level of spoken and written English
  • Degree level education desirable

  • Ability to gather large quantities of data, analyse data, present and deliver at a high level to key stakeholders
  • Excellent attention to detail
  • Excellent time management and organisational skills with the ability to deliver high-quality work to timescale, and the ability to manage and prioritise own workload within a fast paced environment
  • Ability to work with uncertainty and missing or incomplete information, and drive change to close any future gaps
  • Ability to deal with change and to incorporate planned change into forecasting requirements
  • Advanced level of spoken and written English

Experience/Tenure

  • Ability to talk confidently and credibly with senior management
  • Strong stakeholder engagement and communication skills, with experience of working collaboratively with Team Managers and Account Managers to optimise performance
  • Experience in back office Resource Planning role
  • Previous demonstrable experience of forecasting and scheduling within a resource planning role
  • Demonstrable commercial focus and business acumen
  • Experience of researching and being involved in RFP process for WFM software implementation
