The EXPO
The Expo is in the lounge. This area can be accessed by the main entrance.
The hotels main entrance from the hotel resident’s car park and through the hotels bar area.

The conference and sessions will take place in the Lawrence 1, Lawrence 2, Lawrence 3 & Chatterley suites. The lounge is located outside the Lawrence Suites.

We will be running a scavenger hunt through the expo where delegates will be given a card to collect a stamp from each of the exhibitors which will give you a great opportunity to network throughout the day. There will be a draw at the end of each day for the delegates who have collected all the correct stamps from every stand, please consider donating a prize to make this a more attractive activity, please email Chloe to let us know what you will be donating.

Please can I remind you about our associate member offer, we have a limited number of complimentary places at the National Conferences available for you to invite your customers along to join us, provided that they are not already members. If you have a customer you wish to invite please send their name, email address, company name and job title to events@theforum.social and we would be happy to book them in.

When we expect delegates to be in the EXPO
We are expecting over 200 delegates to join us for our national conferences. We expect delegates to be in the EXPO area at the following times during the day. Delegates will choose to attend sessions when they are available, so the best way to network with

Time Purpose
08:00 – 09:00  Arrival refreshments
10:00 – 10:30  Morning break
12:30 – 14:00  Lunch period – delegates may spend some of the lunch period in one of the lunchtime sessions

 

Please plan to take down your stands after 3.30pm. We will not be scheduling a formal break in the afternoon, so we would encourage you to attend the afternoon session to make the most of your conference experience.

Your Stand
You have been allocated a 3m x 2m space; this is sufficient for a pop up stand. We do not build booths, we can provide you with a table and 2 x chairs for your stand.

Your stand location will be marked clearly. You will have access to a power socket and WIFI, please ensure that you bring any extension leads that you need with you. If you need to hire in AV equipment such as plasma screens or furniture other than the above, please contact Rebecca Lynch, Conference Co-Ordinator on 01773 532 506

The WIFI is complimentary and an open network for all delegates to join however if your stand requires WIFI to run demonstrations or videos. please bring a dongle as we are unable to guarantee the quality or strength of the venues WIFI network.

Set up and Take Down
Please have your stand open and ready for delegates by 08:00 on Tuesday & Wednesday morning.
Don’t forget to book your accommodation! We have secured a discounted rate of £71.00 Ex VAT per person for the night of Monday 19th & Tuesday 20th November. To secure this rate please contact the hotel reservation team on 01773 532 532 and quote “The forum, ‘Date’ & booking reference 718”

This rate is subject to availability at the time of booking and is only available for a limited time. Please also note that your accommodation booking is separate from your conference booking, and that you are responsible for the cancellation of your own accommodation. Cancellation terms for accommodation are you will be charged full payment if your bedroom is not cancelled before 2pm the day prior to arrival.

The EXPO areas will be available for set up on Monday 19th or Tuesday 20th from 19:00 – 21:00 and on either morning from 07:00. Take down time is from 3.30pm on Tuesday or Wednesday depending on your agreement. Where possible please ensure that your stands and equipment are collected by the courier on the day. EXPO floor plan will be available early November.

Security
Please make sure you do not leave valuables on your stand during periods that the EXPO is closed.
